Position Summary
The Executive Assistant & Office Administrator provides high-level executive, administrative, and operational support to the Managing Director and other executives of WTC Accra. The role ensures the smooth functioning of the office by managing communications, scheduling, documentation, logistics, and operational systems. This position requires an experienced professional with exceptional organizational skills, sound judgment, and the ability to anticipate the needs of senior leadership. The Executive Assistant & Office Administrator serves as a trusted liaison between the executives, internal teams, external partners, and stakeholders ensuring efficiency, and professionalism in all interactions.
Key Responsibilities
- Strategic and Operational Leadership
- Support the Managing Director in managing the day-to-day operations of the office, including correspondence, scheduling, and workflow coordination.
- Anticipate executive needs and proactively prepare briefing materials, presentations, and reports.
- Coordinate administrative systems and office procedures to ensure operational efficiency across departments.
- Maintain confidentiality and professionalism in handling sensitive organizational and personnel matters.
- Functional and Technical Duties
- Manage executive calendars, meetings, and travel arrangements.
- Draft, review, and format correspondence, reports, and internal communications.
- Maintain organized filing systems (digital and physical) for executive and departmental use.
- Oversee office logistics including supplies, maintenance requests, and vendor coordination.
- Prepare and reconcile petty cash and expense reports.
- Support event coordination, meeting logistics, and Board engagements.
- Relationship Management and Collaboration
- Act as the primary liaison between executives and internal/external stakeholders.
- Coordinate communications and follow-up on action items across departments.
- Represent WTC Accra with professionalism and sound judgement.
- Administration and Reporting
- Track and report on administrative activities, procurement, and operational expenditures.
- Maintain up-to-date records of contracts, agreements, and correspondence.
- Support policy implementation and compliance with internal administrative standards.
- Assist with recruitment logistics and onboarding for new staff.
- People Leadership
- Supervise the Front Desk Officer and administrative support staff.
- Provide mentorship, feedback, and performance guidance to ensure service excellence.
- Promote teamwork, professionalism, and a culture of accountability.
Qualification and Competencies
- Bachelor’s degree in Business Administration, Management, or a related field.
- Minimum of 5 years of experience providing executive or administrative support in a corporate or international organization.
- International trade experience preferred.
- Proven ability to manage multiple priorities with accuracy and professionalism.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite, digital productivity tools and AI tools.
- Exceptional organizational and time management abilities.
- Professional demeanor, confidentiality, and sound judgement in all matters.
- Demonstrated initiative, adaptability, and problem-solving capability.
